How it Works

This is unique work. Bespoke. Personal. Most important, it requires us to pay attention to what matters most to you. 

Your Heirloom's Journey 

We understand that you're trusting us with something precious—not just the jewelry itself, but the memories and love that your piece holds. This guide walks you through exactly what to expect at each step, so there are no surprises. We move with care and intention, and we keep momentum moving so we can send your piece back home as soon as possible. Below is an overview of the process start-to-finish. 

2015-2017

STEP ONE
Initial Consultation
(free, 15-30 minutes)

You'll schedule a brief call or video chat with us. This isn't a commitment—it's a conversation to see if we're a good fit. â€‹We'll ask you:

  • Who is this piece connected to, and what did it mean to them?

  • What are you hoping to create?

  • Are you imagining something entirely new, or a subtle transformation?

  • What's your budget range?
     

We'll point you to examples of work we've done, demonstration projects in process, designs similar to what you are recommending, and explain exactly how the process works. You'll leave knowing: what to expect, next steps, and whether you want to proceed.

2011-2014

STEP TWO
Sign Agreement & Ship Piece to Us 

When you're ready, you'll:

  • Sign a simple one-page agreement with our terms.

  • Include 3-5 photographs of the piece's current condition (in natural light).

  • Mail your pieces to us securely (you cover shipping). â€‹

2007-2010

STEP THREE

Document & Design 

 

The moment your pieces arrive, we photograph them, make notes about their general condition and report this to you, so you can confirm everything arrived as expected.

Once we have received the piece in person, we'll schedule a brief design call (15-20 minutes). 

​​

On that call, we'll discuss your vision in depth and show you one to three ways that we would recommend arranging the materials based on the vision that we've discussed so far. 

​

The goal of this call will be to have you select a preferred design approach for us to create a mock-up. 

STEP FOUR
Choose the Direction
(3-5 Business Days)

2015-2017

You review the presented design approaches and tell us which resonates.

  • If you love one: We move forward with that design.

  • If you like one but it needs a few tweaks: We adjust that design (one round of minor refinements) and present it to you for final approval.

  • If you want something significantly different: we discuss a revision (different aesthetic entirely)—this requires a design revision fee of $150–$200.

STEP FIVE
Design Approved

Once we've agreed on the design, we'll send you the:

 

  • Final cost estimate (less the initial evaluation fee already charged).

  • Timeline for completion (typically 2-4 weeks from deposit).

  • An approval form you sign (confirming you love this design).

  • Request to approve the shipping address for your piece's delivery.

  • An invoice for payment of the balance.
     

Once you have paid the invoice for the balance of the work on the piece, we finalize production and finish your piece.

2011-2014

STEP SIX
Your Piece Ships 

When your piece has been completed, we do the following:​

  • Take a photo of the final piece and send to you

  • Pack the final piece securely with care instructions

  • Ship to you (insured and with signature required for delivery)

  • We send you an email with the tracking information so you will know where your item is in transit. 
     

When we receive confirmation that your item has been delivered, we send you our final thank you email and ask that you post a photo of your item's arrival.

Finally, we love to see you wearing the piece. Tag us online @TheBeadRemix when you wear your item for the first time.
